If there are discrepancies in an employee's W-2, you can take action through Niural to obtain an accurate W-2c form. Currently, Niural does not charge an extra fee for rectifying W-2 forms.
As corrected W-2s only display the changes made, it's normal for most boxes to remain blank after corrections have been made.
These are some potential problems that you might face with the W-2 form.
- Incorrect legal name or SSN
Should you or an employee identify an error in their legal name or Social Security Number on their W-2, an administrator must rectify this information on behalf of the employee.
- Incorrect work address - correcting state tax withholding
If an employee worked in a state different from the one specified as their work address in Niural, either partially or for the entire year, it's probable that their wages were taxed incorrectly.
- Incorrect home address
Home addresses can be updated by employers from the employee profile in Niural. Employee's can also update their own address through their profile.
- Incorrect employee benefit deduction or employer benefit contributions
If an employee's benefit deductions or employer contributions are inaccurate on the W-2, please notify the Niural team. After our team makes the necessary corrections, a draft version of the W-2c (corrected W-2) will be accessible in the employee's profile. We'll send you and the employee an email notification once the draft form is ready for review.
Employees requiring the corrected Form W-2c should delay filing their personal returns until they have both the original and corrected forms in hand.
- Issues with wages and taxes
Two common reasons for incorrect wage or tax information include:
- Missing employee wages.
- Tax exemption issues.
If you or an employee suspects any missing wages or inaccuracies in taxes on their W-2, administrators should examine annual wage reports and verify the tax exemptions configured in employee profiles.
- Issues with Company information
The company information, including name, address, and FEIN, can be corrected by employers.
Note: Companies with lengthy names might have their name truncated on W-2 forms. Unfortunately, we cannot modify this display. However, as long as the Federal Employer Identification Number (FEIN) on the form is accurate, there should be no problems with tax filings.
How to report a correction to Niural?
Access the Tax and Compliance section via your employer profile. Here's a quick guide:
- Choose Tax Documents.
- Navigate to the W-2s tab and select all employees to download for a bulk review.
- For individual assessments, click the Review button in the employee information.
You'll gain access to the draft W-2 generated by Niural. To report any corrections, simply click the "Report a correction" button or follow the provided link for reporting corrections.
