If a team member is no longer active in a time off policy, admins can transfer their accrued or available balance to a new policy.
No Restriction by Policy Type
Balance transfers are not limited by policy type. For example, if a member’s Sick Leave policy has been paused, their remaining balance can be transferred to an Adoption Leave policy.
However, the destination policy must support the member’s type and location.
For instance, if the new policy is designed for W2 employees based in the US, you can only transfer balances from inactive W2 employees who meet that same criteria. Make sure the receiving policy is appropriate for the member’s classification and geography to avoid compliance issues, including potential violations of local labor laws.
How to Transfer Balances
- Go to the policy details where the member is currently inactive.
- Click the Inactive tab to view all inactive members.
- Click the action menu next to the member's name.
- Select Transfer balances.
- Choose the destination policy.
- Only policies that are valid and compliant for that specific member will appear in the list.

Important Notes
- Transferred balances cannot exceed the eligible amount. This is to ensure only time off that has actually been earned is carried over.
- Need to add more time off? You can do this after the transfer by using the Adjust Balances option in the new policy.
- Transferring less than the full balance? The remaining amount stays with the original (inactive) policy and can be transferred later to another compatible policy.

Why don’t I see certain policies as transfer options?
Only policies that are valid for the member’s type and location will appear in the list. Niural automatically filters out ineligible or non-compliant policies to prevent errors.
Can I split a balance across multiple policies?
Yes. If you transfer only part of a member’s eligible balance, the remaining balance stays in the original (inactive) policy. You can transfer it later to another compatible policy.
Does the transfer impact any future accruals?No. Balance transfers are one-time updates to available time off and do not impact future accrual settings. Accruals will follow the rules of the new policy once the member is active there.
