In Niural, time off policies can be updated to reflect changes in company policy, regional compliance, or organizational needs. However, the flexibility you have in making edits depends on whether employees are currently enrolled in the policy.
When No Members Are Assigned to the Policy
If a time off policy is not currently associated with any members:
- All fields are open for editing.
- You can modify:
- The type of policy (e.g., accrual-based vs. fixed grant)
- The structure of the time off cycle (e.g., calendar year, work anniversary)
- The measurement unit for accrual (e.g., days or hours)
- The type of policy (e.g., accrual-based vs. fixed grant)
Since no leave is being earned under the policy, changes will not affect any data or your team’s records.
When Members Are Actively Using the Policy
If your team members are currently assigned to the policy and are earning leave under its settings, some fields become locked. These restrictions are in place to ensure accurate accrual tracking and compliance with employment laws.
Fields that cannot be changed once accruals have started include:
- Policy Type - You cannot switch from one accrual model to another.
- Accrual Cycle - The structure of how time off renews each year cannot be altered mid-cycle.
- Accrual Unit - Once set (e.g., days vs. hours), the unit cannot be updated for an active policy.
These safeguards help maintain the integrity of current leave balances and ensure that records remain accurate.
Admins can still adjust non-structural settings, including:
- Policy name or description
- Carryover rules
- Maximum balance caps
- Visibility to employees
Note: All approved changes apply only to future accruals and time off requests. Any existing balances or historical requests remain unchanged. This ensures stability for payroll, audits, and employee records.
